Responsibility matrices

A responsibility matrix answers “who does what” for a project or an operating procedure. Activities are the rows, actors are the columns, and each cell holds a role. Because activities can link to the assets, controls and assessments they cover, the matrix is not just a governance diagram — it points at the real work.

The Preset field chooses the vocabulary of roles:

The matrix also takes an ID, a Domain that drives permissions, and optional Labels. It opens with the preset’s roles already attached.

The matrix loads read-only every time, so you cannot disturb it by clicking around. Press Edit in the top right of the matrix card to make any change; the button becomes Done. Everything autosaves while you are in edit mode — there is no separate save button.

In edit mode, an Add actor… dropdown appears in the header: pick an actor and press the arrow button to add a column. Actors already on the matrix are hidden from the picker, so you cannot add one twice. The last row of the table is an Add an activity… input — type a name, press Enter, and it becomes a new row.

Actors wrap users, teams and entities, so you need at least one before the matrix is useful.

Cells cycle rather than opening a dropdown:

  • Click an empty cell to assign the first role of the preset.
  • Click again to move to the next role, and again to clear it.
  • Shift-click to cycle backwards.

The legend under the matrix lists each role with its colour and a live count of how many cells currently hold it — a quick sanity check that exactly one actor is Accountable per activity.

Hover a row in edit mode to get a grip handle and drag it up or down; actor columns reorder the same way by dragging the header. Order persists immediately. The trash icon on a row removes an activity, and the small cross on a column header removes an actor — with a warning when that actor already has cells filled in, because those assignments are cleared.

Each activity row carries a small info icon that opens the Activity details drawer. There you write a Markdown description and link the activity to the objects it covers: assets, applied controls, tasks, risk assessments, audits, findings binders and business impact analyses. Each link section saves as you change it, and the icon brightens once an activity has any details attached.

Matrices live independently. To use one on a project, open the project, switch to the Linked tab, press Edit, pick the matrix in the Responsibility matrices field and save. One matrix can serve several projects, and one project can pull from several matrices.
